This policy explains how Affinity Massage Therapy (“we”, “us”), operated by Donna at Room 15, East Fulton Farm Business Centre, Linwood, PA3 3TP, collects and uses personal information when you use our website, book a treatment, or contact us. Donna is a member of the Federation of Holistic Therapists (FHT).

We are registered with the Information Commissioner’s Office (ICO). Our registration number is ZC204628.

1. What we collect

Depending on how you use our services, we may collect:

• Booking details — treatment type, date and time, notes you give us, payment status
• Account details — email login, password (stored as a secure hash), preferences, marketing opt-in if you choose it
• Health-related information you choose to share — for example conditions, injuries, or pregnancy relevant to massage (treated carefully as sensitive data)
• Payment information — handled by Stripe; we receive confirmation of payment, not your full card number
• Technical data — basic server logs (for example IP address, browser type) when you use the site, used for security and troubleshooting

2. Why we use your information

We use your information to:

• Take and manage bookings and payments
• Send booking confirmations, reminders, and related emails
• Provide safe, suitable treatments
• Run your online account if you create one
• Respond to messages and support requests
• Send marketing only if you have opted in (you can opt out any time)
• Meet legal, accounting, and insurance obligations

Our legal bases under UK GDPR typically include: performing a contract with you (bookings), legitimate interests (running and securing the studio/website), consent (marketing; and where required for health information), and legal obligation (records we must keep).

3. Who we share data with

We only share what is needed:

• Stripe — to process card payments (Stripe privacy policy)
• Resend (or similar email provider) — to send transactional emails such as confirmations and reminders
• Hosting provider — to host the website and database
• Professional advisers or insurers — if required, under confidentiality
• Authorities — if the law requires us to

We do not sell your personal information.

4. How long we keep it

We keep intake forms, health information you share for treatment, and related clinical notes for 7 years after the date of your last appointment, then securely delete or anonymise them, unless we must keep something longer for legal or insurance reasons.

Booking, account, and payment records are kept for as long as needed to provide the service and for a reasonable period afterwards for accounting, insurance, and legal requirements. If you ask us to delete your online account, we will remove or anonymise what we can, except where we must retain records (for example clinical history within that 7-year period).

5. Your rights

Under UK data protection law you can usually ask to:

• Access the personal data we hold about you
• Correct inaccurate data
• Delete data (in some cases)
• Restrict or object to certain processing
• Receive a copy of data you provided (portability), where applicable
• Withdraw consent where we rely on consent

6. Cookies and the website

Our site uses essential cookies or similar technology needed for signing in, booking holds, and security. We do not use advertising trackers on the main booking site. Payment pages on Stripe may use their own cookies as described in Stripe’s policies.

7. Security

We take sensible steps to protect your information (for example secure hosting, hashed passwords, and payment handled by Stripe). No online service is completely risk-free.

8. Children

Our online booking is intended for adults. Please contact us directly if you need to discuss bookings for a young person.

9. Changes

We may update this policy from time to time. The “Last updated” date at the top will change when we do.
